Avalon Clubhouse, Grounds & Common Areas
The Avalon common areas, grounds, pool and clubhouse are private entities for only Avalon member residents and their specific, limited invited guests. These entities are not available or open to non-residents, the general public, other communities, for public events, hired swim lessons, day care needs, swim teams, sport teams, clubs, groups, organizations, commercial functions, etc. The clubhouse is only available for rental for social events.
Avalon Members, household members, and residents using the common areas assume all responsibility, liability (including accidents, damage, medical, etc.) safety and other responsibilities for their household and guests.
An access keycard and signed indemnity waivers are required.

CLUBHOUSE - POOL PARKING LOT
The pool/clubhouse parking lot is intended only for authorized pool and clubhouse usage. This includes pool guest parking during pool season, clubhouse rental events, and Association and/or Board sponsored events, meetings, etc. Unauthorized usage for any period may cause towing as per the signage located at each lot entrance. Unauthorized parked vehicles and objects of any type in the clubhouse lot (including but not limited to trailers, buggies & 'golf' cart type vehicles, RV's, vans, rental/moving vehicles, boats, overnight vehicles, resident personal vehicle parking, etc.) may be towed at any time without notice. The Association assumes no liability or responsibility for any damage, theft, medical damages, towing damage, etc. of vehicles, personal property and of persons using the clubhouse grounds and parking lot. Additionally, the clubhouse parking lot is private property and is not a drive/pass-through for vehicles traversing the public streets. Persons illegally using the lot as a drive/pass-through assume all responsibility for extra wear & tear to the lot, damages and medical liability and injury (including loss of life) which may be caused by this action.

CLUBHOUSE RENTALS:
AVALON RESIDENTS ONLY:
To rent the Avalon clubhouse, you must be an Avalon member owner resident and ARA member, age 21 or older, in good standing (property account paid in full of all fees, charges & compliance). You must be present for the entire length of the function. Rental of the clubhouse for someone other than the owner / resident is strictly prohibited.
TYPES of APPROVED RENTALS:
Rentals are strictly for private, social, non-public (personal invitation only) and non-commercial events unless otherwise approved by the Avalon Board of Directors. (Social events include functions such as wedding/baby/bridal showers, social parties, family parties, family reunions, wedding rehearsals, birthday parties, etc.) It is not available for rental for commercial gatherings or meetings of any type, sales or similar solicitations or events of a public or public-invite forum, clubs, trade clubs, groups, organizations, church/school events, political and similar events, etc. This includes events using any signage, flyers, advertising or public invitations.
FEES:
The rental fee (subject to change) is a minimum of $175 which includes a $50 (non-refundable) fee to rent the clubhouse for 4-hours rental time plus a minimum $125 additional upfront deposit (refundable if rules are followed and conditions are met). The deposit may be adjusted depending on the type of event and rental history. Each additional hour reserved over 4 hours is $10.00/hour. The rental fee is to be made in one payment and will be deposited upon receipt (check or money order). To pay by ACH or credit card go to the "PAY FEES" payment page on this site (option 3).
SIZE of EVENT:
20-25 persons maximum - depending on the type of rental (standing, seated, in-out, etc.).
DEPOSIT REFUND:
(including but not limited to):
- The clubhouse is left in a clean condition as per the cleaning checklist and BOD approval, and that there no damages from the rental. If any damages occur or cleaning fees exceed the security deposit portion, additional fees will be charged to the member's property account.
- Decorations - attaching anything of any type in any manner to the walls, doors & trim will cause the entire deposit to be forfeited.
- There are no unpaid account charges (legal fees, fines, assessments, charges, etc.) to which the deposit fee will also apply
- Clubhouse rules and conditions are followed.
- Extra time used over rental reserved will be deducted from the deposit.

CLUBHOUSE RENTAL RULES:
Read CLUBHOUSE RENTAL USAGE & CONDITIONS to determine if your event fits within guidelines. Rentals are for the indoor clubhouse only and do not allow or include usage of the pool, the pool area, the pool deck area or the common area grounds at any time during the rental.
NOTE: NO POOL/POOL DECK AREA is INCLUDED OR ALLOWED. NO GRILLS, OUTDOOR COOKING EQUIPMENT, INFLATABLES, FIREWORKS, CHIMENEAS or similar are allowed as well as any other incendiary devices on the common areas/grounds.
CONFIRMATION:
Upon approval, a confirmation packet will be sent to the owner/clubhouse renter. The owner renter and resident are responsible for reading the entire packet to make sure the rental is within the guidelines, that all rules will be followed, and that they inform their event 'helpers' of the same. Rental is considered confirmed once signed acceptance and payment are received. The Association reserves the right to adjust clubhouse rental availability and cancel a clubhouse rental(s) as needed for repairs, community events and needs, etc. and/or other federal, state and community issues, etc. If the rental is cancelled by the Association, the clubhouse renter will be refunded all fees prepaid for rental.
CLEANUP:
The renter is responsible for satisfactorily cleaning the clubhouse after the event to have the deposit refunded. ALL trash from the event must be removed from the premises (including bathrooms during non-pool season) and NOT placed in the trash cans at the pool or in the clubhouse. A cleaning checklist is included in the confirmation packet and in the clubhouse kitchen.

LIABILITY & INDEMNIFICATION*:
By submission of rental/deposit payment and utilizing the clubhouse, members agree to abide by all conditions, rules and regulations as set forth herein. Owner of the Avalon property assumes all responsibility for the rental. All persons renting and using the clubhouse and common area do so at their own risk and accept full responsibility and liability without limitation for themselves, their guests and any 3rd party vendors (including entertainment and other party event company or individual, usage of and obtaining required licenses for any copyrighted music and material, or any other licenses and liability insurance), event vendor items and equipment, subcontractors etc. Third-party vendors and/or companies must be prior approved by the Association, and owners/renters are responsibility for verifying any licensing, liability insurance, etc. Avalon Residential Association, Board Members, Administrative Management and subsidiaries assume no responsibility, directly or indirectly, for any personal injury (including death) or the loss of, or damage to, personal property which may occur by or to anyone, anywhere on or around the Avalon Residential Association property.
